We are looking for an Admin Assistant to join our company with the following qualifications and skills:
Main Responsibilities:
- Provide High-Level Administrative Support: Assist executives with daily tasks, including managing schedules, coordinating meetings, and preparing documents.
- Calendar Management: Organize and schedule appointments, prioritize and manage calendar to avoid conflicts, and ensure executives are prepared for meetings.
- Communication Management: Handle incoming and outgoing communications, screen calls, draft and review emails, and prioritize messages.
- Meeting Coordination: Plan, organize, and coordinate meetings, prepare agendas, take minutes, and follow up on action items.
- Travel Arrangements: Book flights, hotels, and transportation, manage travel itineraries, and ensure all details are communicated effectively.
- Document Preparation: Prepare, edit, and proofread reports, presentations, and other documents for internal and externa distribution.
- Confidentiality: Handle sensitive information discreetly and ensure data privacy compliance.
- Expense Reporting: Prepare and submit expense reports, track budget, and assist in expense management.
- Research and Reporting: Conduct research on various topics, compile data, and create summaries or reports as needed.
- Project Support: Assist with project management, help track deadlines, and coordinate with different departments for project-related tasks.
- Event Planning: Organize and manage corporate events, board meetings, and other special occasions.
- File and Document Management: Maintain an organized system for electronic and paper files, ensure files are accessible, and assist with documentation retention.
- Liaison Role: Act as a liaison between executives and internal or external stakeholders, ensuring effective communication.
- Office Supply Management: Order supplies as needed, manage office resources, and coordinate with suppliers.
Requirements and skills:
- Minimum of 2 years of experience as an administrative assistant, executive assistant, or in a similar role supporting senior-level management.
- Bachelor's degree or diploma in business administrative or related field.
- Familiarity with software like Microsoft Teams and ORACLE.
- High level of Interpersonal skills, with the ability to interact with individuals at all organizational levels and maintain confidentiality.
- Proficient in Microsoft Office applications including Word, Excel, and PowerPoint.
- Proficient in English.
- Excellent oral and written communication skills (Arabic & English), with attention to detail in grammar and presentation.
- Excellent organizational skills.
- Exceptional time management skills.
- Ability to adapt quickly and appropriately.
- Ability to multi-task
- Flexibility: Willingness to work overtime or on weekends if needed to accommodate executives schedule.
- Problem-Solving Skills and have the ability to anticipate the needs of executives and solve issues proactively.
- Knowledge of the Financial Industry.
