Job Description

We are seeking a highly organized and detail-oriented Admin cum Project Support to join our team. The ideal candidate will be responsible for developing comprehensive project plans, monitoring progress, and providing regular status reports. This role also involves overseeing procurement activities, managing office contracts, and providing general administrative support.

Key Responsibilities:

  • Coordinate and execute office projects, including renovations, relocations, and new office set-ups.
  • Track project tasks and ensure the timely completion of milestones.
  • Maintain project schedules and budgets, and prepare detailed progress reports.
  • Collaborate with contractors and vendors to ensure timely and budget-compliant project completion.
  • Utilize the Trakhees portal for submissions, particularly handling OFC-related tasks.
  • Assist in planning and executing marketing events such as trade shows and conferences.
  • Maintain and update the marketing database with accurate information.
  • Monitor marketing expenses and provide timely budget reports.
  • Research and implement innovative marketing strategies to enhance department efficiency.
  • Develop creative ideas for marketing materials and promotional giveaways.
  • Support social media content creation and publication.
  • Assist in creating company artworks and graphic materials.
  • Manage and optimize the company's Google account.
  • Collaborate with the marketing team to ensure consistency in brand messaging.
  • Manage AMC contracts (DCD, Fire Fighting, Lease Agreements, Logic Utilities, etc.) and ensure timely renewals.

Required Qualifications, Skills, or Experience:

  • Proven working experience in Jafza facility management, Admin, ,AMC contracts, project coordination, and procurement.
  • Strong proficiency in SharePoint, Power BI, MS Project, MS Excel, with experience creating and managing Gantt charts.
  • Excellent communication and negotiation skills for effective vendor and team management.
  • Strong documentation and organizational skills.
  • Strong Personality and Interpersonal skills.
  • Experience with tender processes and procurement best practices.
  • UAE Driving license Holder is additional advantage.
