Job Description

OCTA, a fast-growing startup transforming accounts receivable management, is looking for an Admin & Sales Specialist to streamline sales operations and support the team in achieving growth. This role is perfect for someone tech-savvy, detail-oriented, and eager to work in a dynamic startup environment.

You'll work closely with the sales team, leveraging tools like Apollo, HubSpot, Lemlist, Clay.com, Google Docs, Calendly, Zoom, and Fireflies to optimize workflows and ensure seamless operations.

Key Responsibilities

1. Administrative Support
  • Assist with scheduling meetings, managing calendars, and coordinating with internal and external stakeholders.
  • Maintain and organize records, reports, and documentation related to sales and operations.
  • Provide general administrative support to ensure smooth daily operations.

2. Sales Coordination
  • Assist the sales team by preparing proposals, quotes, and follow-up emails.
  • Update and maintain customer information in the CRM system.
  • Track and report on sales performance and metrics.

3. Customer Interaction
  • Handle customer inquiries and redirect them to the appropriate team members when necessary.
  • Follow up on leads and schedule calls or demos for the sales team.
  • Build and maintain positive relationships with customers.

4. Process Optimization
  • Identify inefficiencies in current processes and suggest improvements.
  • Ensure timely and accurate completion of sales-related tasks to support overall team goals.

5. Internal Communication
  • Act as a liaison between the sales team and other departments to ensure smooth communication and alignment.
