Job Title: Administrative and Customer Service Specialist

Department: Technical Office and Projects

Location: Obour, Cairo

Position Summary:

We are seeking a highly motivated and organized Administrative and Customer Service Specialist to support the daily operations of our Technical Office and Projects department. This hybrid role will provide professional administrative services while also serving as the main point of contact for customer inquiries. The ideal candidate will have a technical aptitude, outstanding communication abilities and a strong dedication to delivering exceptional customer experiences.

Key Responsibilities:

Administrative Duties

Provide comprehensive administrative support to the department managers, engineers and project teams.

Coordinate schedules, arrange meetings/conferences, send reminders and track attendance.

Take detailed meeting notes and distribute agendas, minutes and action items.

Maintain department calendars, files, records and contact databases.

Proofread and format complex technical reports, proposals, presentations and correspondences.

Ensure department runs efficiently by ordering supplies, managing vendors and handling invoices.

Assist with special projects, research and other duties as assigned.

Customer Service Duties

Serve as the primary point of contact for external customer inquiries via phone, email and in person.

Address and resolve routine customer issues, questions and complaints promptly.

Collect details on complex technical issues and escalate to appropriate project teams.

Follow up with customers to provide status updates, troubleshoot problems and gather feedback.

Maintain open communication with internal teams to facilitate timely customer responses.

Create and update clear documentation on customer interactions and resolution steps taken.

Identify areas for improved processes, communications and customer satisfaction.

Qualifications:

Bachelors degree in business administration, Communications or related field.

Minimum 4 years of experience in an administrative or customer service role.

Background or knowledge of manufacturing, construction or engineering processes strongly preferred.

Exceptional organizational, multitasking and time management capabilities.

Demonstrated proficiency with Microsoft Office Suite, databases and office equipment.

Excellent written and verbal communication skills with strong attention to detail.

Positive attitude with an innate ability to build relationships and provide excellent service.

Capable of handling sensitive information with strict confidentiality and discretion.

Adaptable self-starter comfortable taking initiative and working in a fast-paced environment.
