Job Description

PURPOSE

The administrative assistant is responsible for ensuring compliance with board secretariat legislation and regulation and to keep general secretary and deputy informed of their responsibilities and tasks update.

Reporting to:

Board Secretary Assistant

DUTIES

  • Provided administrative support to ensure efficient Secretary General operations
  • Administrative assistant must see that tasks were completed on time and high quality
  • Supported General Secretary and deputy by organizing company events, meetings, and scheduling
  • Prepared minutes of general meetings and board meetings
  • Review and follow up the meeting's items action and board resolutions.
  • Prepared new letter and corresponding letter and reports.

Requirements

Essential Qualifications:

  • A minimum of 2 years experience as an administrative assistant
  • Expertise in MS Office
  • Enthusiastic, energetic, and motivated approach to work
  • Emotionally resilient in a fast-paced environment
  • Ability to work both independently and within a flexible team environment
  • Ability to foster a Board of Directors focused working environment and build and maintain rapport with the Board Secretariat and other departments
  • Ability to interact with internal and external visitors from diverse cultural backgrounds, displaying awareness of cross-cultural communication issues
  • Willingness and ability to demonstrate initiative and accept responsibility
  • Maintaining confidentiality

Desirable Qualifications:

  • Previous experience as an administrative assistant in the Board Secretariat department
  • Holds the administrative assistant office for at least two of the three years immediately preceding the appointment

Qualifications:

  • Diploma in Office Management or above
  • Certified proficiency in MS Office (Professional level)
