  • As Administrative Assistant| Executive Assistant, you will be the linchpin of our daily operations, playing a critical role in maintaining the smooth running of our operations, more specifically Finance, HR and Billing.

What you will do

  • COMPREHENSIVE ADMINISTRATIVE SUPPORT | Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and faxes, and sorting and distributing incoming mail
  • EFFICIENT INVOICE MANAGEMENT AND CLIENT DATABASE MAINTENANCE | Prepare and send invoices, maintain client databases, track accounts, and assist with copying and distributing production orders and other internal documents
  • REVISE AND MAINTAIN SPREADSHEETS FOR ACCOUNTING, PRODUCTION AND FIELD SERVICES | Update spreadsheets used by accounting, production, and field services
  • ADMINISTRATIVE EXPERTISE | Undertake a variety of administrative tasks including HR, billing, and finance with precision and speed. Provide support to various departments, enhancing efficiency and productivity. Your adaptability and multitasking skills are crucial in this role;
  • DOCUMENTATION AND PROJECT MANAGEMENT Revise and Maintain Spreadsheets for Accounting, Production, and Field Services Manage, proofread, and organize documents with strong writing and editing skills. Prioritize and manage multiple projects, ensuring all deadlines are met even under pressure.
  • OFFICE MANAGE & COMMUNICATION | Open and close the office daily, creating a welcoming environment. Act as the primary point of contact, handling calls and emails with professionalism, and managing stakeholder correspondence. Your role is vital in reflecting the company's values in all interactions;
  • SCHEDULING AND CLIENT RELATIONS | Efficiently manage schedules, meetings, and follow-ups. Oversee client relationship management, ensuring responsiveness and attention to detail. Your role includes making calls to potential customers for meeting setups or proposal follow-ups, playing a key role in business development;
  • TEAM BUILDING | Organize team bonding activities and manage office supplies.

We operate using Google Workspace, Slack, and Asana. Thus, familiarity and hands-on experience with these platforms are critical for this role. The candidate should be fluently English-speaking, showcasing excellent interpersonal, verbal, and written communication skills. An eye for detail, capacity to manage multiple projects simultaneously, and a passion for delivering high-quality work are vital.

What you bring to the table:

  • 2+ years of experience in administration with a track record of effective multitasking and organization skills
  • Experience with document management systems and office equipment.
  • Basic understanding of financial concepts and terminology.
  • Ability to assist with preparing and tracking invoices, financial reports, and account reconciliations.
  • Ability to update and manage the spreadsheets and financial reports.
  • Strong communication and interpersonal abilities, capable of maintaining positive relationships with team members and clients;
  • Experience in handling administrative duties such as HR, billing, and finance;
  • Highly motivated, with the ability to work independently and as part of a team;
  • Creative and proactive in organizing team activities and maintaining a positive office atmosphere;
  • Strong problem-solving skills and the ability to adapt to various tasks as needed;
  • Dedication to the smooth operation of the office and the well-being of the team;
  • Commitment to continuous learning and improvement in a dynamic work environment;
  • Able to work with Google Workspace, Asana, Slack & other software supporting our remote work worldwide.
