Parisima Talent is looking to hire for the position of Administrative Officer with one of our clients in JAFZA, Dubai.
Position: Admin Executive
Job location: JAFZA, Dubai
Salary: AED 5,500
Job responsibilities:
- Perform general administrative tasks including incoming and outgoing mail, records and file maintenance, procurement of office supplies.
- Provide administrative support when needed for travel, meeting coordination, and other miscellaneous tasks requested by co-workers
- Presentation creation and modification via PowerPoint.
- Maintain calendars - holiday, vacation, etc.
- Conference room scheduling.
- Process expense reports, invoices, voucher requests, and work with accounts payable to ensure invoices are paid in a timely manner.
- Document Owner of administrative files including but not limited to department organizational chart, calendar, vacation schedule, safety meeting facilitation list, and phone list.
- Initiate all other requests needed for new employees, such as internet access, phones, workstations, and needed equipment.
- Organize team events and site team celebrations.
- Responsible for the renewal of all insurance policies and other permits.
- Support the team with payment issues, escalation, and resolution.
- Provide back-up support for managing monthly accruals.
- JAFZA licenses are renewed on an annual basis. Coordinate with stakeholders for all government required documentation to ensure license renewals are completed on time
Key skills:
- Relevant experience as Admin Assistant / Office Secretary / Admin Officer preferred.
- Calendar management / time management.
- Clear written and verbal skills.
