About The Role
Paramount Computer Systems is seeking a highly efficient and proactive Administrative Services Coordinator to join our team in Doha. This role is critical to creating a welcoming environment for our visitors and ensuring the smooth operation of our office. With 2-4 years of experience in office administration, the ideal candidate will demonstrate exceptional organizational skills, a keen eye for detail, and a passion for providing excellent service.
Key Responsibilities
- Front Desk/Reception and Client Interaction Management: Serve as the primary point of contact for clients and visitors, managing front desk operations, handling incoming calls, and maintaining a professional and welcoming reception area.
- Compliance Management: Maintain and manage documentation for compliance purposes, ensuring all records are accurate and up-to-date.
- Visa and Work Permit Coordination: Work closely with the PRO team to facilitate visa and work permit processes efficiently.
- Documentation and Correspondence: Prepare various documents, including employment letters, company communications, and compliance-related materials.
- Office Facilities and Inventory Management: Oversee the maintenance and inventory of office supplies and equipment, ensuring the office runs smoothly.
- Meeting Room Management: Coordinate the scheduling and booking of meeting rooms to optimize office space utilization.
- Travel and Accommodation Arrangements: Organize travel and accommodation logistics for employees and visitors.
- Vendor Management: Collaborate with vendors to plan and execute office events and manage related logistics.
- Audit and Compliance Oversight: Ensure adherence to audit requirements and manage audit-related documentation.
- HR Support: Assist the HR team with ad-hoc tasks related to employee engagement and logistics, contributing to a positive work environment.
- Logistics support: Assist in logistics coordination, including handling shipments, deliveries, and coordinating office moves or relocations.
Qualifications
- Experience: 2-4 years of experience in office administration or a related field.
- Language Skills: Fluent in English; proficiency in Arabic is an advantage.
- Skills: Strong organizational and multitasking capabilities, excellent communication skills, and proficiency in managing office logistics and compliance.
- Professional Traits: Detail-oriented, proactive, and capable of handling sensitive information with confidentiality.
