The Role:
As a Bookings Coordinator, your role is crucial for keeping our operations running smoothly. Here are your main tasks:
1. Quick Bookings:
- Book customer quotes and job requests within 24 hours.
2. Communication:
- Reach out to property managers and clients promptly to schedule quotes and jobs.
- Keep notes in the booking app and get alternative tenant contacts if needed.
3. Material Management:
- Order job materials efficiently and handle returns.
4. Engineer Coordination:
- Understand engineers skills to optimise job efficiency.
- Schedule jobs in nearby locations to reduce travel time.
5. Confirm Bookings:
- Send booking confirmations to clients.
6. Information for Engineers:
- Ensure clear instructions in the booking system for engineers.
7. Workload and Scheduling:
- Keep engineers busy to meet daily targets.
- Schedule engineers two days in advance, from 9 am to 6 pm.
8. Tracking and Reporting:
- Track engineers to update statuses in the booking software.
- Report any potential delays to clients.
9. Verification and Quality Control:
- Use vehicle trackers to verify time spent.
- Check job quality with before and after pictures.
10. Invoicing:
- Send invoices within 24 hours of job completion.
11. Reporting:
- Complete the morning meeting template and report on daily performance
