JOB PURPOSE:
The Business Development Coordinator will oversee the organisation and distribution of incoming client related enquiries (RFI, RFQ, RFP etc.), ensuring that all touchpoints are logged within internal and third-party software(s) and for assisting in the final compilation and submission of company responses.In addition, the Business Development Coordinator shall be responsible for working with the Business Development Manager and the Business Development Team to ensure that the company is registered in, and compliant with all regional client registration sites/portals as well as third-party or governmental sites/portals.The Business Development Coordinator shall also be involved in the support for regional conferences/tradeshows and workshops.
ESSENTIAL DUTIES AND RESPONSIBILITIES / KEY ACCOUNTABILITIES:
- Oversee the organisation and distribution of incoming client related enquiries (RFI, RFQ, RFP etc.)
- Record and upkeep of all client events in centralized tracking system for all incoming and outgoing proposal and contract related activity. This includes but not limited to:
- Logging of all pertinent information related to tender and contract (e.g. Company Name, contact name and information, due dates etc.).
- Scheduled weekly review of tracking system in conjunction with BD Team.
- Generation of scheduled reports covering sales pipeline, deadlines and outcomes.
- Coordinating with Legal team for review and compliance
- Coordinating with Risk and Compliance team as well as regional institutions for BG, PBG and Insurances
- Establishing and maintaining effective relationships with clients via email, phone, and in-person.
- Registration in, and maintenance of client, third party and governmental sites/portals.
- Compilation of RFI, RFQ, RFP's and coordination with admin team to ensure on-time delivery.
- Coordinating and arranging client events, meetings, appointments, and conferences.
- Writing and distributing agendas, proposals, and briefing documents for internal and external meetings.
- Creating and maintaining client databases and mailing lists.
- Tracking submitted proposals and providing feedback to management.
- Providing effect administrative support as needed.
QUALIFICATIONS:
EDUCATION: Associate's degree in Sales, Marketing or applicable, vocational school or a HS diploma, GED or equivalent and 2 years additional experience is required.
EXPERENCE: 5 years of related experience and/or training; or equivalent combination of education and experience.
