Job Purpose
As a Contracts Management Supervisor, you will consolidate and efficiently index the various contracts and all associated documents in the contracts database system, in collaboration with the business/user department, contributing the required process orientation and expertise. This position is responsible to facilitate and coordinate effective cross functional teamwork and act as an interface for managing all related contacts accordingly.
In this role, you will:
- Generate reports on a regular and ad-hoc basis, related to all aspects of contract management and communicate to the Procurement team and other relevant business units. Perform other functions relative to contract management as required by the department.
- Support the Contracts Management Unit to develop and enhance the process and tools in order to deliver the output efficiently with a quick turnaround.
- Serve as the primary point of contact for communication of contractual matters including responding to queries and serving notices in accordance with terms agreed in the contract.
- Maintain a repository of executed contracts and update the system to monitor compliance of contractual terms and conditions.
Contract Management
- Follow-up on Free Of Charge (FOC) spare parts, ensure contractual data is recorded through the contract compliance system to ensure contractual compliance through an FOC purchase order issued by the concerned stakeholders
- Follow-up on contractual credit, raise contractual claims through the e-warranty workflow system in order to enable the concerned approval authority and EK Finance and Accounts payable for accounting purposes.
- Ensure that all subsequent amendments to the Buyer Furnished Equipment (BFE) contracts, General Terms Agreements are reflected both in the Contracts Management repository and hardcopy forms in a timely manner, to ensure all user departments/business units are referring to the most up-to-date information.
- Through effective collaboration with the relevant business units and application of process expertise, ensure all contracts and agreements of varied nature, are accurately and efficiently indexed. Update and index the Aircraft Readiness Logbook related to new aircraft delivery into the Engineering Procurement Portal, so as to facilitate in liaison with relevant stakeholders the closure of all new aircraft delivery commitment letters.
- Support Contract Management Officer in Price review process by sanitizing the previous / current catalogue price list provided by Suppliers and loading into Aeroxchange and Generate the annual Contractual Price Adjustment study completed by various suppliers in line with the respective contracts.
- Prepare and review discrepancy of PO unit price vs price catalogue approved and updated in UM.
- Review all P/N warranty update queries received from the stakeholders and ensure accurate terms are updated by the relevant Warranty staff in the Ultramain system, as well as referring to the individual supplier contracts for specific details and/or exceptions listed in related documents.
- Update the approved spare prices in UM and maintain tracking records.
Contract Management Aircraft and Powerplant
- Manage the aircraft lease and powerplant contracts by maintaining detailed database of in-service aircraft, engines, and the fleet for various portfolios, contractual obligations, and business requirements.
- Ensure timely serving of notices as per contractual requirements and Emirates internal policies and procedures for initiating required actions relating to operating leases and finance lease assets. Monitor and follow-up with internal and external stakeholders for ensuring timely compliance of such actions.
- Act as a focal point for all contractual requests received from internal and external stakeholders and coordinate with respective departments for initiating required action on timely basis.
- Publish various reports to a wide range of stakeholders providing necessary information on operating leases including change in finance structure, extensions, phase out plans, scoping documents listing the contractual redelivery conditions.
Qualifications & Experience
To be considered for this position, you must meet the below requirements:
- 4+ years of experiencein Engineering, Purchasing or Planning.
- Education: 12 years of schooling or equivalent.
Knowledge / Skills:
- Industry experience in Supply Chain is preferable (Warehouse and Logistics, Repair Management, Material Planning / Support & Inventory Control, Technical Purchasing).
- Aircraft maintenance spares purchasing experience is preferable. Airlines or MRO (Maintenance Repair Organization) work experience will also be considered.
- Familiar with all corresponding repair, warranty, stores, inventory, technical, production and quality interfaces.
- Familiar with aircraft systems including maintenance philosophies, practices, policies and procedures.
