Job Description

The Front Office Customer Service Officer is the first point of contact for patients and visitors at the medical clinic. This role involves providing exceptional customer service, handling administrative tasks, and ensuring a smooth and welcoming experience for all individuals entering the clinic. The ideal candidate will have excellent communication skills, a compassionate demeanor, and the ability to manage multiple tasks efficiently.

  • Key Responsibilities:
Patient Interaction:
  • Greet patients and visitors with a warm and professional demeanor.
Check in patients, verify personal and insurance information, and update records as necessary.
  • Schedule, reschedule, and cancel appointments using the clinics scheduling system.
Address patient inquiries and provide information about clinic services, procedures, and policies.
  • Handle patient complaints or concerns with empathy and professionalism, escalating issues to management as needed.
Administrative Duties:
  • Answer phone calls and direct them to the appropriate department or staff member.
Process patient payments, including co-pays and outstanding balances.
  • Manage patient files, ensuring all documentation is accurate and up-to-date.
Coordinate with medical and administrative staff to ensure efficient office operations.
  • Assist in managing office supplies and equipment, placing orders as needed.
Compliance and Confidentiality:
  • Maintain patient confidentiality in compliance with HIPAA and other regulatory requirements.
Ensure all paperwork and electronic records are handled securely and accurately.
Operational Support: Prepare and distribute various reports and communications as requested by management.
  • Assist with clinic initiatives and special projects as needed.
Perform other related duties as assigned by the Office Manager or Clinic Administrator.
  • Qualifications:

High school diploma or equivalent; associates or bachelors degree preferred.
  • Previous experience in a customer service role, preferably in a medical or healthcare setting.
Strong communication and interpersonal skills.
  • Proficiency with office software (e.g., Microsoft Office Suite, scheduling software).
Ability to handle sensitive and confidential information with discretion.
  • Excellent organizational and multitasking abilities.
Familiarity with medical terminology and insurance procedures is a plus.
  • Working Conditions:
Full-time position with potential for occasional overtime.
  • Must be able to work in a fast-paced environment.
May involve sitting for extended periods and occasional lifting of office supplies.
