DescriptionWe are seeking a highly organized and proactive Director Secretary to join our team. As a Director Secretary, you will be responsible for providing administrative and secretarial support to our director and executive team. Your role will be crucial in ensuring the smooth functioning of the department by managing schedules, coordinating meetings, and maintaining confidential files. The ideal candidate for this position will have excellent communication skills, a strong attention to detail, and the ability to work in a fast-paced environment.
Manage the director's calendar, organizing and scheduling appointments and meetings
- Coordinate and prepare materials for meetings, including agendas, presentations, and reports
Take minutes at meetings and follow up on action points- Organize and maintain physical and electronic files, ensuring easy accessibility and confidentiality
Act as a point of contact between the director and internal/external stakeholders
- Make travel arrangements, including booking flights, accommodations, and transportation
Assist in organizing company events and social functions- Preferrably with Accounts background
Minimum of 3 years of experience as an administrative assistant or secretary, preferably supporting senior executives- Excellent time-management and multitasking abilities
Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Strong organizational skills with keen attention to detail- Ability to maintain confidentiality and handle sensitive information professionally
Exceptional problem-solving and decision-making skills
