Job Description

Ensure all the technical documents, records and files are maintained with index and file numbers.
Submitting the submittals to Client / Consultant as per Document Control System.
Using ACONEX Document Management System.
Distributing the submittals on receipt from consultant as per the instruction of the Project Director / Project Manager.
Ensure the current approved revisions of controlled documents are available to the project in the EDMS.
Quality checking, registering, classifying, managing, tracking, filing, and transmitting electronic engineering and vendor/contractor deliverables and other project-controlled documents as required by the project.
Filing and keeping all records of incoming and outgoing correspondences /submittals/transmittals/reports etc.
Preparing transmittals/submittals for all technical documents.
Maintaining proper document control and filing system with full traceability.
Filing of documents, both electronically and in hard copy.
Support the project team in retrieving documents from DC systems.
Maintain electronic registers for Letters, Reports, Transmittals, Drawings, Materials, Method Statements, Technical Submittals, Safety & Quality related documents.
Coordinates with Department leaders, Project & Site Engineers related to all submissions for the site.
Sending & receiving all project related e-mails.
Responsible for distributing updated documents on site.
Drafting Letters & Queries to Client/Consultant, Suppliers & Subcontractors.
Follow up with Subcontractors regarding Quotation, Submissions etc.
Prepare and manage a Work Inspection Report (WIR) & Material Inspection Report (MIR) register site.
Prepare and manage a Request for Information (RFI) register site.
Prepare and manage the minute of meeting site.
Participate in project site meetings.
Printing, filing, distribution and control of design drawings and engineering document.
Classifying each projects drawings, O&Ms, document according to project name and location.
Arranges document cataloguing, packing, and long-term storage, or disposal of appropriate engineering documents at time of project closeout.
Document backup, archive, and retention.
Coordinating and ordering of stationery and office supplies.
Handle control of office supplies.
