KEY RESPONSIBILITIES
- Implement a set of key procedures and specifications governing the document control process,including document control procedure, document numbering specification, correspondence procedure, archiving specification, translation procedure and other documentation together defining the Document Control framework for asset/project.
- Track controlled document revisions and changes, follow up on review comments, and manage the document approval process while adhering to change management protocols.
- Collaborate closely with project teams, engineers, contractors, and other stakeholders to streamline document workflows and resolve document-related issues promptly.
- Ensure quality/compliance of document management plans and processes, as well as alignment with Company standards and requirements.
- Ensure that all project documents are checked and submitted before submission due date.
- Work with precision to ensure that all electronic and hard copy filing is accurate and is easily
retrievable.
- Ensure an efficient communication with internal and external team.
- Maintain Deliverable files in hard-copy and electronic retention systems, as required.
- Implement DC KPIs around document review cycles as part of the assurance framework.
- Assisting in the creation of a new document library
- Retrieving files for colleagues and customers when needed
- Maintaining the security of confidential documents
- Prepare and issue document reports (Monthly Contractor Master Document Register status / progress / forecast, Weekly Company Document review statistics).
- Digitize hard copy documents and file them in the appropriate electronic systems so they're easily accessible to appropriate groups, regardless of their location.
- Catalogue and store hard copies and electronic copies of all project documentation - technical drawings, reports, and related information - in an orderly manner within asset, project.
Qualification and Experience
- At least 5 years experience in document management roles on site
- Implementation of company-wide document management systems
- Must have working knowledge of the following:
- Document control processes and systems on Project/Asset, and of the interface management in the major execution contracts.
- Cross-discipline engineering documents (requirements and use) and discipline approval processes within project teams.
- Records Management principles and implementation methods.
- Experience working with document management systems (EDMS). Experience in ASSAI
- preferred.
- Experience in the oil & gas sector, working for an operator or an EPC contractor.
- Experienced user of MS Office Suite (Word, Excel, and PowerPoint)
- Excellent IT skills
- Strong time management and prioritization skills
- Excellent communication and report writing skills and a good command of the English language.
- Bachelor's Degree preferred; equivalent experience considered.
