Job Description
We are seeking a detail-oriented Document Management Engineer to join our Project Management Office (PMO) in Riyadh, Saudi Arabia. In this role, you will be responsible for developing, implementing, and maintaining document management systems and processes to support our organisation's project portfolio.
- Design and implement document management strategies and systems to improve efficiency and accessibility of project-related information
- Develop and maintain document control procedures, ensuring compliance with organisational standards and regulatory requirements
- Collaborate with project managers and team members to establish document workflows and version control processes
- Conduct regular audits of document repositories to ensure accuracy, completeness, and adherence to filing conventions
- Provide training and support to staff on document management best practices and system usage
- Analyse document management processes and recommend improvements to enhance productivity and reduce risks
- Generate reports on document metrics and key performance indicators for senior management
- Ensure proper archiving and retention of project documents in accordance with company policies and legal requirements
- Coordinate with IT department to troubleshoot technical issues and implement system upgrades
- Stay abreast of industry trends and emerging technologies in document management to drive continuous improvement
Qualifications
- Bachelor's degree in Engineering, Information Management, Computer Science, or a related field
- 8 years of experience in document management or a similar role, preferably within a Project Management Office (PMO)
- Proficiency in document management systems and project management software
- Strong knowledge of Microsoft Office Suite, with advanced skills in SharePoint
- Experience with data analysis and reporting tools
- Familiarity with process improvement methodologies
- Excellent organisational and time management skills
- Strong analytical and problem-solving abilities
- Attention to detail and ability to manage multiple priorities effectively
- Excellent communication and interpersonal skills
- Knowledge of document management best practices and industry standards
- Understanding of project management methodologies and project lifecycle documentation
- Project Management Professional (PMP) certification is desirable
- Ability to work collaboratively in a fast-paced, dynamic environment
- Willingness to adapt to changing priorities and deadlines
