Role Description
We are seeking a Rockstar Executive Assistant with an entrepreneurial mindset, who will assist with the day-to-day administrative duties of the CEO and general office management. In this role you will execute on key
initiatives related to the firm's core business and collaborate with affiliated organizations to ensure the
company is in alignment with shareholder initiatives. This position is based in Dubai, UAE, and will report
directly to the CEO.
The Executive Assistant will ensure the CEO is operating at peak potential and administrative
responsibilities within the company are handled at the highest level of performance and efficiency. She/he
will work closely with and as an integral part of our small and collaborative team of venture professionals.
Responsibilities
- Coordinate daily calendars of the CEO while prioritizing appointments and events
- Act as the point of contact between stakeholders, executives and employees/clients
- Create regular reports and update internal databases
- Make travel arrangements, manage phone calls and emails
- Respond promptly to the CEO's queries, acting as capacity extension to manage his time
- Facilitate internal communication (e.g. distribute information and schedule presentations)
- Suggest more efficient ways to run the office and troubleshoot bottlenecks
- Review and recommend changes to our company policies
- Managing information flow in a timely and accurate manner
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Act as an office manager by keeping up with office supply inventory
- Format information for internal and external communication memos, emails, presentations,
reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organize and maintain internal systems, databases and trackers
- Organize company events or conferences
- Liaise with staff, vendors and clients
- Organize onboarding of new new employees
- Ensuring that health and safety policies are up to date
- Utilize a range of internal software systems, including CRMs, mail merge tools, social media
- Attend meetings with senior management
- Order office lunches and curate vendor ordering for company swag
- Assist with HR by keeping personnel records up to date, arranging interviews and so on
- Organize employee healthcare benefits, visas and DEWS
Requirements
- Proven work experience as an Executive Assistant, Administrative Assistant or similar role
- Knowledge of office procedures and common software tools
- Familiarity with online calendars and cloud systems
- Strong communication skills (via phone, email and in-person)
- Experience exercising discretion and confidentiality with sensitive company information
- Excellent organizational skills with an ability to think proactively and prioritize work
- To be successful in this role, you should be well-organized, have great time management skills
and be able to act without guidance

- Strong written and verbal communication skills in English
- Fluency in Arabic language is a plus
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Excellent MS Office knowledge and other productivity tools
- Undergraduate degree
- Agile, flexible, and responsive approach to work
