We are seeking a highly organized and proactive Executive Assistant to join our Commercial department at Jahez. In this role, you will provide high-level administrative support to our executives and ensure the smooth running of daily operations.
- Independent Management of Schedule: Independently manage the CCO's calendar, prioritizing meetings, scheduling appointments, and ensuring efficient time allocation while considering potential conflicts and deadlines.
- Communication Management: Utilize discretion to screen calls, emails, and inquiries directed to the CCO, determining which require immediate attention and which can be delegated or addressed later. Draft responses to emails and communications on behalf of the CCO, exercising judgment to ensure clarity, professionalism, and alignment with company messaging.
- Project Involvement: Participate in select commercial projects at the CCO's discretion, taking initiative and independent action to support project goals within established parameters. This may involve conducting research, preparing reports, or coordinating tasks with other departments.
- Confidentiality and Sensitive Information: Maintain strict confidentiality of all information related to the CCO's activities, commercial strategy, and company secrets. Exercise discretion in handling sensitive documents and communications.
- Travel Arrangements: Independently manage the CCO's travel arrangements, including flights, accommodation, and itinerary planning, while adhering to company policies and budgetary constraints.
- Problem-Solving and Initiative: Proactively identify and address potential issues or roadblocks that may impact the CCO's schedule or workflow. Use discretion to develop and implement solutions to streamline processes and enhance the CCO's efficiency.
- Relationship Management: Act as the point of contact between executives and internal/external clients. Building and maintain strong relationships with stakeholders.
Job Requirements:
- Minimum of 2+years with sector-specific experience.
- Proven experience working in a similar role.
- Spoken and written English is required.
- Bachelor's degree in business administration, Secretarial Studies, or related field preferred.
- Proven experience as a senior executive assistant or similar administrative role supporting C-suite or senior executives.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong verbal and written communication skills.
- High level of professionalism and discretion in handling confidential information.
- Ability to work independently with minimal supervision.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Detail-oriented with a proactive and resourceful approach to problem-solving.
