Job Description

Overview:

We are seeking an Executive Assistant providing unparalleled executive support in a one-on-one working relationship. This is a pivotal role for a seasoned professional with a profound understanding of business operations, executive needs, and strategic foresight. The ideal candidate is a visionary thinker with exceptional organizational acumen, capable of anticipating and addressing the evolving needs of the executive while contributing significantly to the organization's strategic initiatives. This individual will serve as an indispensable extension of the executive, enabling critical decision-making, managing complex, high-stakes projects, and fostering key relationships at the highest levels of the organization.

Key Responsibilities:

Executive Support & Business Partnering

  • Act as a trusted advisor and strategic partner to the executive, providing deep insights, strategic support, and proactively anticipating needs.
  • Serve as a proxy for the executive, adeptly handling inquiries, delegating tasks, and making high-level decisions on their behalf when appropriate.
  • Build and nurture strategic relationships across the organization, ensuring seamless collaboration with senior leadership and key stakeholders.

Strategic Project Leadership

  • Oversee and lead high-stakes projects on behalf of the executive, coordinating with cross-functional teams and ensuring the successful and timely execution of project milestones.
  • Conduct in-depth research, analyse complex data, and provide strategic recommendations to support executive decision-making.
  • Develop comprehensive briefing materials and strategic reports for executive meetings, board presentations, and high-profile industry engagements.

High-Level Meeting Management & Documentation

  • Manage executive meetings, including the preparation of agendas, strategic talking points, and materials aligned with key business objectives.
  • Attend high-level meetings, meticulously document discussions and follow-up actions, and facilitate the delegation of tasks to relevant parties.
  • Track and prioritize the executive's commitments, ensuring alignment with organizational goals and strategic priorities.

Stakeholder Engagement & Relationship Management

  • Serve as the primary liaison between the executive and internal/external stakeholders, cultivating and maintaining relationships, and ensuring the executive's time is strategically allocated.
  • Engage with board members, investors, clients, and key partners on behalf of the executive, coordinating interactions and ensuring smooth, high-level communication.
  • Manage confidential information and sensitive matters with the utmost diplomacy and professionalism.

Operational Excellence & Process Optimization

  • Identify and implement innovative process improvements to enhance efficiency in executive operations, calendar management, and communication flow.
  • Establish robust systems for tracking key performance indicators (KPIs) relevant to the executive's priorities, ensuring effective monitoring, analysis, and reporting.

Comprehensive Travel & Event Planning

  • Coordinate and oversee complex travel arrangements, including high-stakes international engagements and multi-leg itineraries.
  • Plan and execute high-profile events, executive off-sites, and high-stakes meetings, ensuring seamless logistics and maintaining a professional image.

Requirements:

  • Experience: 12+ years of experience in a high-level Executive Assistant role, with a demonstrated track record of supporting C-suite executives or senior leadership in fast-paced, dynamic environments.
  • Education: Bachelor's degree required, with a preference for additional certifications in executive support, project management, or business administration.
  • Skills:
  • Advanced proficiency in MS Office Suite, project management tools, and CRM systems.
  • Exceptional communication skills, with extensive experience drafting executive-level correspondence, board reports, and presentation materials.
  • Strong analytical abilities, capable of distilling complex information into strategic, actionable insights.
  • Attributes:
  • High level of business acumen, discretion, and emotional intelligence.
  • Proactive, with the ability to anticipate needs and address potential challenges before they arise.
  • Excellent problem-solving skills, with a strategic mindset and a high tolerance for ambiguity.
