Job Description
Executive Secretary
Key Responsibilities:
Administrative Support: Provide high-level administrative support to executives, including managing schedules, preparing reports, and handling correspondence.
Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for executives.
Communication: Serve as the primary point of contact between executives and internal/external stakeholders. Handle confidential information with discretion.
Document Preparation: Draft, review, and manage communications, reports, presentations, and other documents.
Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
Office Management: Ensure the executive office runs smoothly, including managing office supplies, equipment, and maintenance.
Special Projects: Assist with special projects and initiatives as needed, ensuring timely and successful completion.
Qualifications:
Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.
Experience: Minimum of 3-5 years of experience as an executive secretary or in a similar administrative role.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle multiple tasks and prioritize effectively.
High level of discretion and professionalism.
Strong problem-solving abilities and attention to detail.
