About The Role

As a Facilities Coordinator, you will be pivotal in overseeing catering operations to ensure they meet established service levels and budgetary constraints. Your role will involve developing and managing systems and processes to guarantee that operations align with client corporate expectations and comply with all relevant laws and regulations.

What You Will Bring

  • At least 3 to 5 years of experience working in a catering environment, with a strong understanding of kitchen operations, food safety, and service management.
  • Relevant diplomas or certifications in food safety, hospitality management, or facilities management will be a recommendation.
  • A working knowledge of HACCP (Hazard Analysis and Critical Control Points) and food hygiene practices.
  • Proven track record in supervising and managing teams, including training staff and handling performance issues.
  • Computer literacy (MS Office and SAP). Proficiency in using financial management systems, such as SAP, for tracking expenses, creating purchase requisitions, and managing vendor payments.
  • Experience in managing budgets, including operational and capital expenditure, for catering or related facilities.
  • Excellent English written and verbal communication skills
  • Native or mother tongue proficiency in Arabic is essential for effective communication with local staff, vendors, and regulatory bodies.
  • Proficiency in English is required for reading and understanding international documents, communicating with global stakeholders, and managing reports and systems that may use English.

What You Will Be Doing

In this role, you will ensure the smooth operation of catering services, uphold safety and compliance standards, and manage various administrative tasks using SAP. Main responsibilities will include:

Safety Management

  • Plan and conduct LPSA discussions and monthly safety meetings for the catering team.
  • Organize feedback sessions and V&V LPO (Loss Prevention Observations).
  • Complete the required number of LPOs (Loss Prevention Observations) each month.

Operational Oversight

  • Catering Service Management:
    • Monitor kitchen operations and ensure safe handling and storage of food materials.
    • Track the number of daily workers and liaise with the catering company.
    • Ensure compliance with HACCP (Hazard Analysis and Critical Control Points) and check food expiry dates.
    • Record and share notes related to restaurant activities and follow up on feedback solutions.
    • Conduct monthly Diversy audits and manage food hygiene training courses.
    • Oversee microbiological analysis of food, water, and swab samples.
  • Buffet & Kitchenette Services:
    • Determine and manage quantities for self-service buffets every three months.
    • Ensure availability and safety of kitchenette supplies and equipment.
SAP Management

  • Review and receive monthly catering reports including card holders, visitor transactions, and employee discounts.
  • Create and follow up on purchase requisitions and purchase orders (POs) in SAP.
  • Manage monthly service receipts for vendors.
