Job Summary
The General Secretariat PMO Specialist plays a crucial role in overseeing and managing the organization's project portfolio, ensuring alignment with the strategic objectives, and fostering project management best practices. This role involves coordinating with various departments, providing project management support, and ensuring that projects are delivered on time, within scope, and within budget.
Key Responsibilities
- Project Management Support:
- Provide support to project managers across the organization, offering guidance on project management methodologies and tools.
- Assist in the development of project plans, including defining project scope, goals, deliverables, and timelines.
- Portfolio Management:
- Maintain the project portfolio, ensuring that all projects are tracked, prioritized, and aligned with the organization's strategic objectives.
- Monitor and report on the progress of projects, identifying any risks or issues that may impact project delivery.
- Standards and Best Practices:
- Develop and implement project management standards, processes, and templates to ensure consistency and efficiency in project delivery.
- Conduct training sessions and workshops to promote project management best practices within the organization.
- Stakeholder Coordination:
- Act as a liaison between project teams and senior management, facilitating communication and ensuring that project goals are understood and supported at all levels.
- Engage with stakeholders to gather requirements, manage expectations, and ensure project deliverables meet organizational needs.
- Performance Reporting:
- Develop and maintain project dashboards and performance metrics, providing regular updates to senior management on project status and performance.
- Analyze project performance data to identify trends, opportunities for improvement, and areas of concern.
- Resource Management:
- Assist in the allocation and management of project resources, ensuring that project teams have the necessary tools, skills, and support to succeed.
- Monitor resource utilization and availability, making recommendations for adjustments as needed.
- Risk Management:
- Identify potential project risks and develop mitigation strategies to minimize impact on project delivery.
- Maintain a risk register and ensure that risks are regularly reviewed and updated.
Qualifications
- Education:
- Bachelor's degree in Business Administration, Project Management, or a related field.
- PMP (Project Management Professional) certification or equivalent is highly desirable.
- Experience:
- Minimum 5 years of experience in project management, with a proven track record of managing multiple projects simultaneously.
- Skills:
- Strong knowledge of project management methodologies (e.g., Agile, Waterfall).
- Excellent communication and interpersonal skills.
- Proficiency in project management software (e.g., MS Project, Asana, Trello).
- Ability to work independently and collaboratively in a team environment.
- Strong analytical and problem-solving skills.
