About the Job:
An exciting opportunity has arisen for a
Guest Services Executive to join our team, where the focus is on anticipating and fulfilling guest needs to ensure complete satisfaction from pre-arrival to departure. This role also includes recognizing and attending to all returning and VIP guests.
The main duties and responsibilities of this role include:
- Providing a unique and outstanding guest experience.
- Exhibiting a friendly and professional demeanor in all guest interactions, warmly welcoming and orienting guests, and ensuring effective and efficient service.
- Welcoming guests on arrival, registering them, and issuing room keys with the appropriate welcome booklet.
- Assisting guests with inquiries about the hotel, its facilities, and daily events and functions.
- Inspecting the rooms of VIP guests prior to their arrival.
- Ensuring the lobby is adequately manned and covering shifts as per the daily roster.
- Conducting curbside check-ins and escorting guests to their rooms.
- Assisting with check-ins, check-outs, and concierge duties when necessary.
- Providing tours of the hotel and its facilities upon request.
- Ordering and ensuring timely delivery of amenities for VIP arrivals and special requests.
- Assisting with group registrations when required.
- Conducting pre-arrival calls or emails to guests to reconfirm reservations and gather additional information and preferences.
- Ensuring clean profiles and reservations for all arriving guests.
- Assisting in the writing and maintenance of guest history.
- Printing and actioning Guest Relations traces.
- Preparing the arrival report for the next day and highlighting all VIP guests.
- Conducting courtesy calls to in-house guests.
- Responding to Guest Relations emails and E-Butler inquiries in a timely manner.
- Preparing and updating welcome letters.
- Running the birthday report of in-house guests and arranging amenities accordingly.
- Preparing the I Know You report and sending out the I Know You Better report for special highlighted VIPs.
- Performing any related duties and special projects as requested by the Guest Relations Managers or Team Leaders.
- Adhering to the company's HEART and ASPIRE standards, grooming standards, and all Step-by-Step procedures.
- Complying with health, safety, and hygiene procedures and products.
- Being aware of the resort's fire and emergency procedures.
About You:
The ideal candidate for this position will have the following experience and qualifications:
- Entry-level or minimum of 1 year in a Guest Relations Executive/Agent role or similar position in a 5-star hotel with a multicultural environment.
- Strong interpersonal and communication skills.
- Proficiency in computer applications (Microsoft Office, HotSOS, and Opera PMS).
- A flexible schedule to meet hotel occupancy demands.
- Fluency in English - essential.
- Fluency in Russian - essential.
- Knowledge of an additional language - desired.
