Job Summary:
The HR/Admin Executive will be crucial in managing and coordinating various HR and administrative tasks. This includes overseeing employee visas, managing leave records, handling company insurance renewals, and maintaining the company's fleet. Additionally, the role involves coordinating shipments and ensuring smooth administrative operations within the company.
Key Responsibilities:
Human Resources:
Manage the entire visa process, including applications, renewals, and cancellations, ensuring compliance with local labor laws and regulations.
Maintain accurate employee records, including personal details, employment history, leave balances, and attendance.
Oversee employee leave management, processing leave requests, and ensuring adherence to company policies.
Assist in the recruitment process, including job postings, screening candidates, and coordinating interviews.
Conduct employee onboarding and orientation sessions to familiarize new hires with company policies and procedures.
Support performance management processes, including appraisals and employee development plans.
Handle employee grievances and disciplinary actions by company policies.
Ensure compliance with health and safety regulations within the workplace.
Administrative:
Manage the company's fleet of vehicles, including scheduling maintenance, repairs, and ensuring proper documentation.
Oversee the renewal of company insurance policies, including health, vehicle, and property insurance.
Coordinate shipments, liaising with suppliers, logistics providers, and ensuring timely delivery of goods.
Maintain office supplies inventory and order necessary items to ensure smooth office operations.
Assist in organizing company events, meetings, and training sessions.
Ensure the proper functioning of office equipment and liaise with service providers for maintenance and repairs.
Handle general administrative duties, including filing, correspondence, and maintaining office records.
Qualifications:
Proven experience in HR and administrative roles, preferably in a similar industry.
Strong knowledge of local labor laws and regulations.
Excellent organizational and multitasking skills.
Strong interpersonal and communication skills.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle confidential information with integrity.
Detail-oriented and capable of working independently.
Preferred Qualifications:
Professional HR certification (e.g., SHRM, CIPD) is an advantage.
Experience with HR software and databases (Zoho).
Previous experience managing company fleets and coordinating shipments.
Work Environment:
Office-based with occasional site visits as required.
Regular working hours with potential for additional hours during peak periods.
