Job Outline
The Administrative Assistant is in charge of supporting the office by managing daily administrative tasks and ensuring smooth and efficient operations. This role requires a high level of organization, proactivity, problem-solving skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.
Main Duties and Responsibilities:
- Manage calendars, schedule meetings, and coordinate travel arrangements to ensure efficient time management.
- Handle incoming and outgoing communications, including phone, email, and postal mail.
- Prepare and organize documents such as reports, memos, and presentations to support various teams within IT.
- Maintain filing systems, both electronic and physical, to ensure documents are easily accessible and secure.
- Assist in the coordination of office events and meetings, including logistics, catering, and materials preparation.
- Manage office supplies inventory by checking stock and ordering new supplies as needed.
- Process expense reports and handle billing inquiries.
Person Specification:
- Bachelor Degree in Business Administration or a related field is preferred.
- At least 5 years of experience in an administrative role, preferably in a corporate setting.
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiar with scheduling tools such as Outlook.
- Excellent organizational skills with the ability to multitask and prioritize work effectively.
- Strong communication skills, both written and verbal, to effectively correspond with various stakeholders.
- Attention to detail for accurate data management and document preparation.
- Proactive problem-solving skills and the ability to work independently.
- Experience with data entry and basic financial management (invoicing and budget tracking).
