Supervise the day-to-day operations of administration to ensure that work processes are efficient and appropriately handled and in compliance with established standards and procedures
Participate in projects/special assignments as requested by the MD to support in the delivery of results according to predetermined requirements
Undertake complex clerical activities, conducting additional research where necessary, to support ongoing business activities
Plan and allocate specialized clerical and administrative tasks and duties to subordinates (driver/messenger/clerk/administrative assistant) to ensure that work is carried out in the most efficient way
Prepare work schedules for administrative team to ensure coverage of such critical functions as reception, telephones, schedules, meetings, mail preparation and delivery, and preparation of documents
Ensure that typing, data and related administrative, secretarial and clerical work is assigned and reviewed to provide quality of service
Manage the inventory of office supplies and interacts with vendors regarding selection, pricing, and delivery of office supplies, equipment, and services
Consolidate all basic people management activities such as leaves, attendance, and department headcount
Provide basic orientation regarding office procedures, organization policies, and employee pay and benefits in order to increase employees awareness
Coordinate the assignment of office space, computers, furniture and equipment in order to ensure smooth operations in coordination with other departments
Produce regular and ad hoc analyses and reports of the area to enable effective business activity and/or performance monitoring and reporting
Identify and implement improvements and/or modifications to routine clerical and administrative procedures in order to ensure the highest standards of clerical/administrative support to business activities.
Education & Experience
6 - 7 years of experience
Foreign Languages: Fluent in spoken and written English Language
