We are seeking a skilled and organized Real Estate Leasing Coordinator to join our team. The ideal candidate will be responsible for supporting real estate agents and brokers in various administrative tasks to ensure smooth operations and efficient transactions. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to real estate agents and brokers, including managing calendars, scheduling appointments, and coordinating meetings.
- Assist in the preparation and distribution of marketing materials, such as property listings, brochures, and promotional emails.
- Maintain and update real estate databases and CRM systems with accurate client information, property details, and transaction records.
- Respond to inquiries from clients, vendors, and other stakeholders in a timely and professional manner.
- Coordinate with lenders, title companies, inspectors, and other parties involved in real estate transactions to ensure smooth closings.
- Prepare and process real estate documents, contracts, and agreements, adhering to legal and regulatory requirements.
- Conduct research on properties, market trends, and competitors to support decision-making and business development efforts.
- Assist with organizing open houses, property showings, and client events as needed.
- Handle incoming and outgoing correspondence, including phone calls, emails, and mail.
- Perform general office tasks, such as filing, photocopying, and maintaining office supplies.
Qualifications:
- High school diploma or equivalent; additional education or training in real estate administration is a plus.
- Proven experience as an administrative assistant or similar role, must be in the real estate industry.
- Strong proficiency in Microsoft Office suite (Word, Excel, Outlook) and real estate software/tools (e.g., PACT, CRM).
- Excellent organizational skills and attention to detail.
- Exceptional communication and interpersonal abilities.
- Ability to prioritize tasks and manage time effectively.
- Familiarity with real estate terminology, contracts and processes.
- Ability to work independently and collaborate effectively within a team.
