Overview:

As a Marketing Coordination Specialist, you will play a multifaceted role in providing crucial support to the marketing team. Your responsibilities will encompass administrative tasks, coordination of marketing activities, and procurement processes. This role requires a versatile individual with strong organizational skills, attention to detail, and the ability to manage both administrative and procurement functions effectively.
  • Key Responsibilities:
  • Administrative Support:

· Provide comprehensive administrative assistance to the marketing team, including managing calendars, and handling documentation.

· Prepare reports, presentations, and other materials as required.
  • Procurement Coordination:

· Collaborate with the marketing team to identify procurement needs for campaigns, events, and projects.

· Research, evaluate, and select vendors for marketing materials, promotional items, and services.

· Fostering collaboration with the company's procurement department.

· The specialist will work closely with the procurement team to ensure the efficient sourcing of materials and services required for marketing initiatives.
  • Vendor Management:

· Cultivate positive relationships with vendors, ensuring adherence to quality standards and timely delivery.

· Manage contracts, agreements, and invoices, coordinating closely with the finance department.
  • Event Coordination:

· Support the planning and execution of events by coordinating logistics, venue selection, catering, and procurement of event materials.

· Collaborate with internal teams to ensure seamless event coordination.
  • Budget Tracking:

· Assist in managing marketing budgets related to both administrative and procurement activities.

· Monitor and report on expenditures, ensuring alignment with budgetary constraints.
  • Inventory Management:

· Monitor and manage inventory levels of marketing materials, promotional items, and supplies.

· Work with vendors to replenish stock and maintain adequate supplies.
  • Process Improvement:

· Identify opportunities for process improvement within administrative, coordination, and procurement functions.

· Propose and implement streamlined processes to enhance efficiency.
  • Events execution:

· The incumbent will take on key responsibility for the planning and execution of marketing events and activities. This includes coordinating logistics, venue selection, catering, and overall event execution.

The Marketing Coordination Specialist will collaborate with internal teams, external vendors, and stakeholders to guarantee the success of marketing events and activities, aligning them with the company's overall marketing goals and strategies.
  • Qualifications and Skills:

· Bachelors degree in Marketing, Business Administration, or a related field.

· Proven experience in marketing administration, coordination, and procurement roles.

· Strong organizational, multitasking, and time management skills.

· Excellent communication, negotiation, and interpersonal abilities.

· Proficiency in Microsoft Office suite.

· Familiarity with marketing principles, campaign processes, and event coordination.

· Detail-oriented with a proactive and problem-solving mindset.
