Office Manager CEO Assistant
Responsibilities
Regularly updates CEO on organization chart modifications for the Corporations.
Answers all in-coming calls.
Types up all contracts for clients and brief them with the CEO.
Handles confidential material at the highest level.
Experience in dealing with private air lines for group trips, global visits and is able to process and follow up on visa/passport requirements.
Daily review, coordination and anticipation of CEO's tasks, calendar, as well as confirm appointments, meetings and travel.
Screens incoming visitors, phone calls, communication directed to CEO for relevance, prioritization and importance.
Screens CEO's mail from outside and within organization.
Assist with completing deadlines, creating documents, assignments, gathering reports, information and initiate communication on behalf of CEO.
Responsible for organizing of internal and external meetings on behalf of the CEO ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations, prepare agendas.
Provides executive and administrative support to CEO
Responsible for organizing CEO travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while travelling and completing expenses.
Monitors and respond to incoming communications (including complaints) to CEO's office including; Phone calls, emails and walk ins, ensuring correct department distribution.
Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting agendas, preparing minutes of meeting, communicating meeting reminders, confirming venues and arranging refreshments.
Structure calendar of MB events.
Arrange Central Office and Senior leadership events.
Qualifications
Minimum of Associates Degree, Bachelor's degree preferred
Strong work tenure: 5 to 7 years of experience supporting C-Level Executives
Experience and interest in internal and external communications, partnership development, and fundraising
Candidates should have excellent verbal and written communication skills, previous high level administrative support experience; detail oriented, and experience working in a high paced atmosphere, excellent time management skills. Candidate must be proficient with standard office equipment, including personal computers and Windows-based software (Word, PowerPoint, and Excel).
Excellent writing, editing, grammatical, organizational, and research skills.
Ability to work with a broad range of people including major donors, Board members, foundation staff, colleagues of the president/CEO, staff, and others.
Knowledge of other languages and international customs is an asset.
Excellent management, time-management, and problem-solving skills.
