The Human Resources Department is currently looking for an
Organization Design Officer reporting to the Workforce Planning Manager. This position is based on Byblos Campus with occasional commuting to Beirut campus.
Role Summary
The
Organizational Design Officer is responsible for maintaining and updating the university's organizational structures, as well as taking part in the development, assessment and improvement of these structures. S/he will also be maintaining the University's job description repository, conducting job analysis and evaluation while researching best practices and bench-marking against industry standards. S/he will also assist in data aggregation and cleansing that will be used in capacity analysis exercises.
Main Duties & Responsibilities
- Maintains the university's comprehensive organizational charts using software such as Visio or similar tools to facilitate communication and decision-making
- Assesses current organizational structures ensuring that they are up-to-date and that they reflect current reporting relationships and organizational hierarchy
- Assists in and contributes to structuring and restructuring exercises by benchmarking the university's organizational structure and jobs against peer institutions and industry standards
- Participates in evaluating organizational structures and identifying opportunities for improvement to enhance efficiency, agility, and overall performance
- Gathers job data for existing roles within the university using job analysis techniques such as questionnaires, interviews, surveys and observation
- Participates in job analysis exercises to understand the essential functions, tasks, and requirements of each role
- Translates job analysis findings into actionable insights for job description development and organizational design
- Develops clear, concise and accurate job descriptions for all positions within the university
- Maintains an up-to-date repository of all job descriptions and role lists
- Coordinates with other HR units and relevant stakeholders to implement approved changes related to job roles and organizational structures
- Coordinates with stakeholders to gather data needed for capacity analysis exercises and assists in relevant data aggregation, cleansing and verification
- Maintains the databases of workforce data including workload, staffing needs, overtime, turnover rates and skills gaps, to identify trends and proactively address potential issues
- Researches industry best practices and emerging trends in organizational design
- Stays updated on industry trends and emerging methodologies
- Performs other duties pertaining to this job as assigned
Minimum Required Qualifications
- Bachelor degree in Human Resources, Business or a related field
- Minimum 3 years of working experience in Human Resources with at least 2 years of proven experience in organizational design, job analysis or a related field
- Strong problem-solving and analytical skills with ability to aggregate and interpret data
- Data visualization skills
- Excellent interpersonal communication skills with the ability to collaborate effectively with stakeholders at all levels within the institution
- Knowledge of best practices in organization design and change management methodologies
- Excellent organizational skills and attention to detail
- Proficiency in using Excel, Power Point, Visio, and any other tools that support organizational design and workforce planning tools and software
- Ability to work independently and in a team environment, managing multiple priorities and deadlines
