We are seeking an experienced Payroll Officer to join our team. This role is responsible for administering payroll by consolidating payroll inputs in terms of additions and deductions, preparing the monthly payroll in line with set policies and processes, developing payroll-specific reports, and maintaining confidential payroll records. The ideal candidate will have a strong background in payroll administration, particularly with systems like SAP, Oracle HCM, etc., and will ensure accurate and timely payroll processing in compliance with relevant regulations.
Key Responsibilities:
Payroll Administration:
- Administer payroll by consolidating inputs for additions and deductions.
- Prepare monthly payroll in compliance with established policies and processes.
- Maintain confidentiality of payroll records and sensitive employee information.
Data Management:
- Consolidate payroll inputs from HR operations, including attendance, overtime, disciplinary actions, and reimbursements.
- Revise monthly entries and verify consolidated data against approved documentation.
- Report data irregularities and correct errors to ensure accuracy in payroll processing.
Reporting:
- Develop and prepare standard and customized payroll reports for management review.
- Ensure individual pay slips are accessible to employees.
Employee Onboarding and Offboarding:
- Process paperwork for new hires, ensuring correct bank and compensation information in the payroll system.
- Support offboarding processes by calculating end-of-service benefits and monitoring compliance with leave management policies.
Payment Processing:
- Process salary transfer requests, verifying bank account information and coordinating with the accounting function for payment processing.
- Prepare and process advance payments for approved leave requests.
Compliance and Record Keeping:
- Ensure legal compliance with labor laws and payroll regulations.
- Maintain organized and updated personnel records, both digital and manual.
System Coordination:
- Collaborate with IT to resolve payroll system issues and provide feedback for system improvements.
- Prepare necessary documentation for employee banking transactions and facilitate HR letters.
- Perform additional tasks as assigned by the Direct Manager to support the payroll function.
Qualifications:
- Bachelor's degree in Accounting, Finance, Human Resources, or a related field.
- 3-5 years of experience in payroll administration, preferably with SAP or Oracle HCM.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and organizational abilities.
- Knowledge of labor laws and regulations related to payroll.
- Proficient in Microsoft Office Suite and payroll software.
- Strong communication skills, both verbal and written.
