We are seeking a talented and highly motivated CEO Personal Assistant who will be aligned with our professional services organization and has a demonstrated ability to provide top-notch operational and administrative support to our CEO.
Our ideal candidate is a team player who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, resourceful, and efficient. You exercise sound judgment in a variety of situations, have strong written and verbal communication skills, impeccable organization and attention to detail, and the ability to maintain balance among competing priorities.
Responsibilities
- Manage the CEO's calendar and schedule meetings and appointments in a way that maximizes their time and productivity.
- Handle correspondence, including emails, letters, and phone calls, in a timely and efficient manner.
- Prepare presentations and other materials for the CEO to use in meetings and other events.
- Coordinate travel arrangements for the CEO, including booking flights, hotels, visas, and ground transportation.
- Act as a gatekeeper, filtering incoming requests and information to ensure that the CEO's time is used efficiently.
- Support the CEO's strategic initiatives by conducting research, developing new programs, and preparing for board meetings.
- Reminding the CEO of important tasks and deadlines
- Develops Filling system hard copy and soft copies
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers and clients
- Taking meeting minutes
- Producing documents, briefing papers, reports and presentations
- Follows up pending subjects & report the feedback.
Qualifications
- 0-1 year of experience in an executive assistant role, Personal Assistant or similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Discretion and confidentiality essential.
- Flexibility in both the working hours & in dealing with the different situations.
- Excellent computer skills.
- Very time efficient, self-motivated, and organized.
