Job Summary:We are seeking a highly organized and proactive Personal Assistant (PA) and Administrative Assistant to support our executive team and ensure the smooth operation of our office. The successful candidate will manage various administrative tasks, coordinate schedules, and assist in daily office needs to contribute to the overall efficiency and productivity of the organization.
Key Responsibilities:
- Personal Assistant Duties:
Calendar Management: Maintain and manage the executive's calendar, schedule meetings, appointments, and travel arrangements.
- Communication: Act as the point of contact between the executives and internal/external clients, screen and direct phone calls, and distribute correspondence.
Confidentiality:
Handle sensitive information in a confidential manner.Errands:
Perform personal errands as required, including but not limited to banking, shopping, and other tasks.Task Management: Prepare and manage task lists for executives, ensuring timely completion of various tasks.
- Administrative Assistant Duties:
Office Management: Ensure the office operates smoothly by managing office supplies inventory, placing orders as necessary, and maintaining office equipment.
- Document Management: Draft, format, and file documents, including letters, memos, and reports. Maintain an organized filing system.
Meeting Coordination:
Prepare meeting agendas, take minutes during meetings, and distribute them to the appropriate individuals.Data Entry:
Input, update, and maintain data in company databases and systems.Support Staff: Provide general administrative support to staff, including photocopying, scanning, and mailing.
- Event Planning: Assist in planning and organizing company events, meetings, and conferences.
High school diploma or equivalent; additional qualifications as an Administrative Assistant or PA are advantageous.
- Proven experience as a Personal Assistant, Administrative Assistant, or similar role.
Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).- Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
Excellent written and verbal communication skills.- Professional demeanor, proactive attitude, and the ability to handle stress and tight deadlines.
Hours:
Full-time, occasional overtime may be required.Environment:
