Job Description

We are a young, ambitious, and growing commodity trading and investment company and we are looking for a young, ambitious graduate to join us in a Precious Metals Operations role, to support our back office. This role reports directly to the General Manager in Dubai. The Precious Metals Operations role will support the group in client onboarding, accounts management, compliance, and other administrative areas as needed. The role is located in Dubai with a requirement to be present in the office on a full-time basis.

Job Responsibilities

Client Onboarding and Compliance Support:

  • Assist the Compliance Officer with all aspects of client onboarding, ensuring proper documentation is filed and tracked.
  • Maintain and update client records, including managing ongoing client relationships and compliance status.
  • Organise and track compliance-related paperwork, performing audits when necessary to ensure all records are up to date.

Accounts Support and Administration:

  • Provide administrative support to the accounts department, including logging and tracking payments, invoices, and expenses.
  • Ensure proper filing of all financial documents, ensuring quick access and audit readiness.
  • Monitor outstanding payments and liaise with clients or vendors for payment follow-up.

Imports and Exports Administration:

  • Maintain and organise all necessary documentation for import and export operations.
  • Track and monitor shipments, ensuring timely delivery and resolving any issues with carriers or customs.
  • Communicate with external stakeholders, including suppliers, freight forwarders, and regulatory bodies, to ensure smooth transactions.

Transaction Tracking for Trading Team:

  • Record and track all transactional data from the trading team, ensuring accuracy in documentation and reporting.
  • File and maintain records of all trades and transactions, ensuring compliance with internal and external regulations.
  • Assist in preparing regular reports on trading activities for management review.

General Office Administrative Tasks:

  • Handle phone calls, emails, and correspondence on behalf of the office, directing inquiries to the appropriate departments.
  • Coordinate and schedule meetings, conferences, and appointments, and maintain the office calendar.
  • Perform other general administrative tasks, such as managing office supplies and inventory, photocopying, scanning, filing, and managing incoming and outgoing mail.
  • UAE government reporting and filings, including DMCC and EDAS portal management.

Job Requirements

  • An interest in precious metals, bullion or commodities is preferrable
  • Eligible to work in Dubai
  • Degree educated
  • Meticulous attention to detail
  • Strong organisational skills with an ability to multitask
  • A proactive team player who understands and appreciates the bigger picture
  • Excellent time-management skills with a proven ability to meet deadlines
  • Fluency in spoken and writtenEnglish (other language skills are a plus)
