About The Role
We are seeking an experienced and highly organized Private Personal Assistant to join our prestigious family office based in Dubai. The successful candidate will provide comprehensive administrative and personal support to the principal and family members, ensuring the smooth operation of both professional and personal affairs.
Key Responsibilities
- Administrative Support: Manage daily schedules, appointments, and correspondence for the principal and family members. Organize meetings, events, and travel arrangements, including visas and accommodations.
- Personal Assistance: Handle personal errands, shopping, and other tasks as required. Manage household staff, coordinate family events, and oversee maintenance of residences and vehicles.
- Financial Management: Assist with financial tasks including bill payments, expense reports, and budget management. Liaise with accountants, financial advisors, and other professionals.
- Communication: Serve as the primary point of contact for the family office, managing phone calls, emails, and other communications. Ensure timely and appropriate responses.
- Confidentiality: Maintain the highest level of discretion and confidentiality in all matters related to the family and their business interests.
- Project Management: Oversee special projects and initiatives as assigned by the principal, ensuring timely and successful completion.
- Travel Coordination: Plan and organize both domestic and international travel itineraries, ensuring seamless logistics and handling any changes or issues that arise.
- Lifestyle Management: Arrange and coordinate personal and social engagements, healthcare appointments, and other lifestyle requirements.
Qualifications
- Experience: Minimum of 8-10 years of experience as a Personal Assistant or Executive Assistant, preferably within a family office or high-net-worth individual (HNWI) environment.
- Education: Bachelor's degree or equivalent experience in business administration, management, or related fields.
- Skills: Exceptional organizational and time management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong verbal and written communication skills.
- Attributes: High level of professionalism, discretion, and confidentiality. Ability to anticipate needs and proactively address issues. Strong problem-solving skills and attention to detail. Flexible and adaptable to changing circumstances and demands.
