Position Title: Procurement Analyst and Systems Specialist Department: Procurement
Reports to: Procurement Excellence Manager
Location: Corporate Procurement Office

Job Overview:
The Procurement Analyst and Systems Specialist is responsible for managing procurement data, ensuring accurate reporting and analytics, and administering procurement systems to drive operational efficiency and strategic decision-making.
The role will involve deep data analysis, the development of procurement reports, and hands-on administration of procurement systems to support the organization's procurement excellence initiatives.
A high level of communication is required, as this role will collaborate closely with procurement personnel, operations, and finance stakeholders.
Key Responsibilities:
1. Data Management and Analysis:
o Collect, organize, and analyze procurement data to support procurement strategies and decision-making.
o Perform spend analysis and vendor performance analysis, identifying opportunities for cost reduction and efficiency improvements.
o Ensure data integrity within procurement systems, conducting regular audits to maintain accuracy.
2. Procurement Reporting:
o Develop and generate comprehensive procurement reports for internal stakeholders, including spend analysis, vendor performance, savings tracking, and compliance reporting.
o Create dashboards and visualization tools to present procurement data in a clear and actionable format. Preferably MS Power BI or similar reporting tools
o Support the Procurement Excellence Manager in reporting on Key Performance Indicators (KPIs) and procurement metrics.
3. SystemsAdministration:
o Serve as the subject matter expert and administrator for the organization's
procurement systems (e.g., D365 ERP, procurement add-ons).
o Oversee system configuration, updates, and user access to ensure efficient operations.
o Provide training and support to procurement team members and other stakeholders on system functionality and best practices.
o Troubleshoot procurement system issues and coordinate with IT or external vendors for resolution.
4. Process Improvement and Automation:
o Identify opportunities for process improvements within procurement
operations, particularly related to data management and system utilization.
o Work with cross-functional teams to automate procurement reporting and data collection processes where possible.
o Participate in procurement technology initiatives aimed at improving procurement efficiency, accuracy, and compliance.
5. Collaboration and Support:
o Collaborate closely with procurement personnel, operations, and finance teams to support procurement excellence initiatives and ensure alignment with overall business goals.
o Act as a liaison between the procurement department and other stakeholders to ensure smooth communication and the successful implementation of projects.
o Assist the Procurement Excellence Manager in developing strategies for improving procurement processes, supplier management, and overall system efficiency.
6. Stakeholder Engagement:
o Facilitate clear and effective communication with internal stakeholders, including procurement, operations, and finance, to ensure alignment on procurement goals and strategies.
o Present data insights and recommendations to stakeholders in a clear and concise manner, ensuring that technical information is accessible to non- technical team members.
o Support cross-department collaboration to ensure procurement initiatives align with broader organizational objectives.
Qualifications and Skills:
Education:
Bachelor's degree in Business, Supply Chain Management, Data Science, Information Systems, or a related field.
Procurement or systems certification (e.g., CIPS, CPSM, or relevant ERP system certifications) is a plus.
Experience:
o Minimum of 3-5 years of experience in procurement analysis, procurement
systems administration, or a similar role.
o Hospitality industry experience is preferred, with an understanding of procurement challenges and requirements specific to the sector.
o Strong proficiency in procurement systems (e.g., D365 ERP, SAP, or Oracle) and data management platforms.
o Experience with data analysis tools such as Excel, Power BI, Tableau, or similar tools.
Skills and Competencies:
o Strong analytical skills with a proven ability to interpret complex data sets
and provide actionable insights.
o Advanced proficiency in Excel (pivot tables, macros, data modeling) and experience with data visualization tools.
o Technical aptitude with experience administering procurement or ERP systems.
o Exceptional communication skillsboth written and verbalwith the ability to effectively collaborate with procurement, operations, and finance stakeholders.
o Strong attention to detail and commitment to accuracy in data management and reporting.
o Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
