Job Description

Job Title: Procurement Assistant
  • Job Type: Full-Time
  • Reports to: Procurement Manager / Supply Chain Manager
  • Job Overview:

We are looking for a highly organized and detail-oriented Procurement Assistant to join our procurement team. The Procurement Assistant will support the procurement process by handling administrative tasks, managing supplier relationships, and ensuring the timely and cost-effective acquisition of goods and services. This role requires strong communication skills, an understanding of supply chain processes, and the ability to work in a fast-paced environment.
  • Key Responsibilities:
Administrative Support:
  • Assist with the preparation and processing of purchase orders and requisitions.
Maintain accurate records of purchases, pricing, and other relevant data.
  • Organize and maintain procurement documents, including contracts, invoices, and delivery notes.
Supplier Management:
  • Communicate with suppliers to obtain quotes, negotiate prices, and confirm order details.
Assist in evaluating and selecting suppliers based on price, quality, and delivery speed.
  • Monitor supplier performance and resolve any issues related to delivery, quality, or pricing.
Order Processing:
  • Track orders and ensure timely delivery of goods and services.
Follow up on backorders and coordinate with suppliers to expedite shipments when necessary.
  • Verify receipt of goods and coordinate with the accounting department to ensure accurate payment processing.
Inventory Management:
  • Assist in monitoring inventory levels and placing orders to replenish stock as needed.
Help maintain accurate inventory records and coordinate with warehouse staff to manage stock levels.
  • Cost Control:
Assist in identifying cost-saving opportunities by analyzing purchase data and negotiating with suppliers.
  • Compare prices, specifications, and delivery dates to determine the best purchasing options.
Compliance & Reporting:
  • Ensure that all procurement activities comply with company policies and procedures.
Assist in preparing procurement reports and analyses for management review.
  • Support audits by providing documentation and information related to procurement activities.
Collaboration:
  • Work closely with the procurement team, as well as other departments such as finance, logistics, and operations, to ensure smooth procurement processes.
Provide support on special projects and other tasks as assigned by the Procurement Manager.
  • Qualifications:
Education:
  • High school diploma or equivalent; an associate or bachelors degree in Business Administration, Supply Chain Management, or a related field is preferred.
Experience:
  • 1-2 years of experience in a procurement, supply chain, or administrative role, preferably within a similar industry.
Skills:
  • Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with procurement or inventory management software is a plus.
  • Excellent communication and negotiation skills.
Attention to detail and a high degree of accuracy.
  • Ability to work independently and as part of a team.
