Our client in the events industry is seeking a Senior Procurement Specialist. They are a specialized agency dedicated to creating and managing memorable corporate and public events. With expertise in conceptual events, activation programs, and thematic campaigns, we assist in achieving your ultimate marketing goals: enhancing brand awareness and boosting sales.
Job Responsibilities:
- Collaborate closely with the Estimation, Production, and Finance departments during the pitch period.
- Suggest viable alternatives and courses of action or materials while pricing the base scope.
- Provide just-in-time pricing during the pitch period.
- Examine and review tender, contract, and design documents, analyzing specifications.
- Compile and complete contract documents, request missing information, and escalate until all required documents are obtained.
- Maintain strategic relationships with suppliers to foster loyalty.
- Propose and formulate procurement routes and negotiate subcontract terms and conditions.
- Negotiate bids with proper detail breakdown (material, labor, etc.).
- Provide Production and Finance with awarded terms and conditions, including optimized payment terms.
- Provide estimated time of arrival (ETA), lead times, highlight risks and delays, and provide weekly updates.
- Ensure adequate protection of the company's interests.
- Produce contract documents promptly upon pitch award.
- Explore alternatives with earlier deliveries, availability, or more economical options.
- Support other departments approaches and third-party bidders.
- Engage the company on a secure basis after analyzing bid documents.
- Ensure a lump sum with no room for variation due to incomplete documents.
- Achieve just-in-time yet competitive pricing to meet project Key Performance Indicators (KPIs).
- Meet working capital objectives.
- Optimize costs, terms, and improve project profitability.
- Set terms to meet project KPIs, protect the company, and reduce capital calls.
Requirements:
- Preferred experience in Event/Engineering industry projects.
- Mandatory estimation experience.
- Advanced English.
- Team player
- Contract Management & Administration experience is a must.
- Highly proficient in Microsoft Office with higher level Excel skills.
- Experienced in EPC construction contract & cost management.
- Experience in Saudi market, public sectors, ministries.
- Expert level in contracts, practiced in UAE & KSA. Ability of handling complex discussions and negotiations with lawyers, owners, and other stakeholders.
