About The Role
The Project Coordinator works with various members of the project team and the client to develop a time line, create schedules, and oversee progress to make sure goals are met on time. He/She utilizes spreadsheets to track budgets, dates, and other information
Key Accountabilities Include, But Are Not Limited To
- Coordinate work permits, invoices, logistics, and documentation for suppliers and contractors on each project.
- Manage small scale projects such as promotional areas and soft-personalization.
- Supervise current projects and coordinate with all team members to keep the workflow on track.
- Coordinate project-related paperwork by ensuring all necessary materials are current, properly filed and stored. Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails.
- Adhere to the budget by monitoring expenses and implementing cost-saving measures.
- Support the project team through the effective coordination between all entities involved in the project portfolio.
- Liaise with internal and external stakeholders to ensure that the activities, resources and information necessary for successful progression of projects are captured and reported as required.
- Review project documents, drawing submissions and communicate required changes or other comments of note.
- Develop and track project schedules to monitor milestones and alert the Project Manager and respective stakeholders of any deviation from expected delivery.
- Ensure timely shipping, clearance and delivery of joinery/equipment so as to avoid demurrage charges and minimise loss.
- Reconcile invoices and payments, record it to ensure timely and accurate management in conjunction with Project Manager and Finance.
- Attend/represent the project management team at contractor/brand meetings, capturing key information and / or minutes as required.
- Build and maintain positive relationships with contractors, clients, stakeholders, providing timely information and problem resolution.
- Coordinate key activities such as stocks delivery, and merchandising arrangement with operations prior to the shop opening.
- Perform other department duties related to his/her position as directed by the Head of the Department.

Qualifications
About you
The Successful Candidate Will Have The Following Qualifications
- High School Qualification / Vocational Qualification /Diploma or Equivalent (Type of Diploma Based on Role) with Minimum 3 years of job-related experience
- Bachelor's Degree or Equivalent with Minimum 2 years of job-related experience
Job-specific Skills & Experience
- Experience in project documentation and coordination
- Experience in Retail & F&B Shop fit-outs project management
- Experienced in project documentation and coordination
- Hands-on / On-site experience
- Documentation management and ability to use project management tools
