What is the job
It can be a physical role and although there are the usual meetings, briefings and of course reports to run, you will need to be on your feet some of the day out and about in the hotel, so fitness will be key for you, although reasonable adjustments will be made where we can. You will need to speak English for this specific role, and looking at your next move we would love it if you were multi-lingual, but it's not essential just yet.
A Little Taste Of Your Day-to-day
Every day is different at IHG, but you'll mostly be:
- To ensure that all goods received are properly supported by valid hotel purchase orders.
- To examine both quality and quantity of goods received in coordination with related department before accepting the delivery.
- To ensure that goods are promptly moved to store or concerned department once received.
- To ensure that outgoing goods are properly documented and accounted for.
- To closely monitor with Purchaser all pending or partial deliveries.
- To be responsible for recording and distributing reports as per hotel policies and procedures, such as duly signed individual receiving record, receiving report, etc.
- To coordinate with the purchasing department in regards to delivery issues.
- Stamps all invoices and delivery notes with the receiving stamp and complete all applicable section of the receiving stamp.
- Completes receiving report for all materials arriving at the hotel. Making certain that all are backed up by properly completed and authorized market list, purchase request or other order.
- Notifies concerned department heads of arriving materials so that items may be removed promptly from receiving area.
- Checks the price extension and total charge of all handwritten and typed invoices. Attaches calculator add-tape to each handwritten receipt as proof of verification.
- Brings all outstanding deliveries, purchase order to Purchasing Manager by daily.
QUALIFICATIONS AND REQUIREMENTS :
- Assist to oversee and ensure the effective implementation of the tender system so that the continuous supply of quality goods and services to the hotel are not compromised.
- Assist to ensure the timely preparation of purchase order so that all approved purchase requests can be ordered and the goods delivered by the suppliers on the date needed.
- Assist to conduct periodic market survey in association with department concerned to determine and/or validate the availability and prices of market goods.
- Assist to keep track of all outstanding purchase orders to ensure that goods are delivered on time, in formalizing a monthly outstanding order report per department.
What we need from you :

- Participates in negotiations for service contracts.
- Identifies and organizes adequate storage for all perpetual inventory items and implements corporate policy, products and initiatives in order to maximize cost effectiveness.
- Obtains competitive quotations and bids.
- Identifies and develops reliable sources of supply.
- Processes purchase requests from departments. Must be familiar with most of the regular items procured by the hotel.
- Assist in processing of replacement for damaged and near expiry items and also service of damaged machines or equipment.
