Key Responsibilities:
- Greet and welcome visitors, ensuring a positive first impression of the organization
- Manage the reception area by keeping it tidy, stocked, and organized
- Answer and direct phone calls, taking messages and handling general inquiries promptly and professionally
- Assist with scheduling and reserving meeting rooms, ensuring they are prepared for use
- Provide administrative support to various departments as needed, including data entry, filing, and organizing documents
- Organize regular engagement activities, including employee recognition programs, celebrations, and internal communications
- Assist in fostering a positive and inclusive workplace environment by responding to employee queries and concerns
- Act as a point of contact for employees needing support with office resources or administrative issues
Requirements
- High school diploma or equivalent
- 1-2 years of experience in a receptionist or administrative role preferred
- Strong communication and interpersonal skills, with a friendly and professional demeanor
- Excellent organizational and multitasking abilities, with the capacity to manage multiple tasks in a busy environment
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with phone and office systems
- Strong attention to detail with an ability to maintain accuracy in visitor logs, messages, and scheduling
- Dependable, with a consistent record of punctuality and reliability
- Ability to handle unexpected situations calmly and professionally, with a proactive approach to customer service
- Fluency in English is required, with the ability to communicate clearly and effectively in both written and verbal formats
