Receptionist in our office in Amman.

The Receptionist will be the first point of contact to clients and external visitors. Our receptionist duties include offering administrative support to staff, welcome and greet guests, answer incoming calls and manage the front office desk.

Responsibilities

  • Diary arrangement and management of meeting rooms.
  • Possibly handling event coordination, both internally and externally.
  • Handling queries and complaints via phone, email and general correspondence.
  • Greeting all visitors in a professional manner.
  • Transferring calls as necessary.
  • Possibly managing office supplies such as stationery, equipment and furniture.
  • Performing ad-hoc administration duties as required by the HR Business Partner and Office Manager.
  • Maintaining office services as required (such as cleaners and maintenance companies).
  • Receiving and dispatching deliveries.
  • Assisting with mail as required.
  • Taking and ensuring messages are passed to the appropriate staff member on a timely basis.
  • Assisting the HR team with recruitment, on-boarding and arranging for interviews.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Direct and manage in a professional and efficient way all incoming phone calls and inquiries to the relevant persons.
  • Provide basic and accurate information in-person and via phone/email.
  • Scheduling appointments when required and manage the manage the diary of the executives.
  • Ensure reception area and meeting rooms are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing as requested.
  • Handles travel requests, including hotel, flight and transportation booking accordingly to the internal travel policy.
  • Generating reports as requested by the Office Manager.
  • Perform tasks efficiently and diligently.

Skills & Competencies

  • Proficiency in Microsoft Office Suite.
  • Hands-on experience with office equipment (e.g. fax machines and printers).
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
  • Attentions to detail and diligent at their work.
  • Punctual.
  • Have the capacity to understand the business.
  • A degree holder and additional certification in Office Management is a plus.
  • Strong communication skills (Written and Verbal) in English and ideally in Arabic.
  • Proven work experience as a Receptionist, Front Office Representative or similar role .

Experience Requirements

  • Highly organized and detailed oriented.
  • Shows passion, motivation and dedication .
  • Strong business ethics, including the ability to work in a highly confidential workspace.
  • Strong written and verbal communication skills in both Arabic and English is required.
  • Proven working experience with Microsoft Office.
