Job Description:
We are seeking a professional and personable Receptionist to join our team. The Receptionist will be the first point of contact for clients and visitors, providing exceptional customer service and managing front desk operations.
Key Responsibilities:
- Greet and welcome visitors and clients with a friendly and professional demeanor.
- Answer, screen, and direct phone calls to appropriate personnel.
- Handle incoming and outgoing mail and packages.
- Manage appointment scheduling and coordinate meeting rooms.
- Maintain a clean and organized reception area.
- Perform administrative tasks such as data entry, filing, and managing office supplies.
- Assist with basic inquiries and provide information about the organizations services and policies.
- Generate reports as needed and maintain accurate records.
- Ensure confidentiality and handle sensitive information with discretion.
Qualifications:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Proven experience as a receptionist, front office representative, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and knowledgeable in CRMs.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Professional appearance and demeanor.
- Customer service orientation with strong problem-solving skills and attention to detail.
- Familiarity with report generation and basic knowledge of bookkeeping and office management procedures.
- Ability to work independently as well as part of a team.
