Office Coordinator
The Role:
As the Office Coordinator at Land Sterling, you will be the first point of contact for visitors, ensuring a positive and professional impression. You will manage incoming calls, schedule appointments, maintain an organised reception area, and offer general administrative support. Additionally, you will be responsible for handling and uploading leads into the new sales portal and managing this process to ensure accurate record-keeping and follow-up.
Responsibilities:
Reception Duties:
- Answer and direct incoming calls, take messages and provide information.
- Greet and assist visitors with a warm, professional welcome.
- Direct individuals to their destinations within the organisation.
- Handle public and customer queries courteously and efficiently.
- Monitor and control visitor access for security.
- Maintain awareness of staff movements for effective communication.
- Keep the reception area tidy and organised.
Administrative Support:
- Provide administrative support, including correspondence and document preparation.
- Schedule and manage appointment diaries.
- Coordinate bookings for conference and meeting rooms, including catering.
- Manage office equipment to ensure operational efficiency.
- Control inventory relevant to the reception area.
- Perform additional tasks as assigned by supervisors.
- Arrange travel bookings (flights and hotels) when required.
Sales Portal Management:
- Upload and manage new leads in the sales portal.
- Ensure all lead information is accurately entered and up-to-date.
- Coordinate with the sales team to follow up on lead status and progress.
- Maintain and organise lead documentation to ensure effective tracking.
Qualifications & Skills:
- Bachelor's degree in Business Management or related field.
- Proficient in MS Office and general administrative software.
- Comfortable with customer service principles and practices.
- Knowledgeable in lead management systems and databases.
