The Reservations Agent is responsible for managing guest reservations, ensuring accurate and efficient booking processes, and providing exceptional customer service. This role requires a strong background in hotel operations and an ability to handle various reservation systems and customer interactions effectively.
Process and confirm reservations via phone, email, and online booking platforms.
- Utilize hotel reservation systems to check availability, make bookings, and update guest information.
Provide high-quality customer service by answering inquiries, resolving issues, and assisting with special requests.- Maintain clear and professional communication with guests, addressing their needs and ensuring a positive experience.
Inform guests about special offers, packages, and upgrades to enhance their stay and increase revenue.
- Promote additional services and amenities, such as room upgrades, dining options, and activities.
Maintain accurate records of reservations, cancellations, and no-shows.- Prepare and review reservation reports, tracking booking trends and occupancy rates.
Work closely with the front desk and other hotel departments to ensure smooth check-ins, check-outs, and guest satisfaction.
- Handle booking discrepancies, guest complaints, and special requests efficiently and professionally.
Update and maintain guest databases, ensuring accurate and current information.- Use property management systems (PMS, Opera Cloud) and other relevant software to manage reservations and guest interactions.
Follow hotel policies and procedures regarding reservations, cancellations, and guest data protection.
- Ensure all reservations are processed in accordance with hotel standards and best practices.
Proven experience as a Reservations Agent or similar role in a hotel or hospitality setting.
- Excellent customer service skills with the ability to handle various guest interactions professionally.
Strong verbal and written communication skills, with a friendly and approachable demeanor.- Proficiency with reservation systems, property management systems (Opera Cloud), and Microsoft Office Suite.
High level of accuracy and attention to detail in handling reservations and guest information.
- Strong organizational and multitasking abilities, with the capacity to manage a high volume of reservations.
High school diploma or equivalent; additional certification in hospitality management is a plus.- Knowledge of multiple languages is an advantage.
