We are seeking a meticulous and highly organized Sales Reconciliation Officer to join our team. This individual will play a critical role in ensuring the accurate and timely reconciliation of daily, weekly, and monthly sales data across all channels (in-store, online, wholesale, etc.). The ideal candidate will possess strong analytical skills, attention to detail, and a deep understanding of financial processes within the luxury fashion retail industry.
Key Responsibilities:
Sales Data Reconciliation:
- Perform daily, weekly, and monthly reconciliations of sales transactions from all sales channels, including retail stores, e-commerce, and wholesale.
- Ensure accurate matching of sales records with payment data, inventory transactions, and external reports (e.g., from payment processors and third-party vendors).
Data Accuracy & Reporting:
- Identify discrepancies in sales and payment records and work with relevant teams (e.g., finance, operations, IT) to resolve issues promptly.
- Prepare and maintain detailed reports on sales performance, reconciliation outcomes, and discrepancies for senior management.
System Integration & Management:
- Work closely with the IT team to ensure seamless integration between platforms, softwares, and point of sale (POS) systems.
- Continuously monitor the effectiveness of reconciliation processes and suggest improvements as needed.
Financial Compliance & Auditing:
- Ensure that all sales data reconciliations comply with company policies, accounting standards, and applicable regulations.
- Assist with internal and external audits by providing required documentation and explanations regarding sales discrepancies.
Cross-functional Collaboration:
- Collaborate with the finance, operations, and customer service teams to ensure any discrepancies, chargebacks, or refunds are promptly addressed and resolved.
- Liaise with store management and regional teams to verify transaction accuracy and align reconciliation efforts across locations.
Problem Solving & Issue Resolution:
- Proactively identify trends or recurring issues in sales discrepancies and suggest process improvements or system adjustments.
- Investigate and resolve any discrepancies in a timely manner to prevent revenue loss or customer dissatisfaction.
Continuous Improvement:
- Participate in the development and implementation of best practices for sales data reconciliation processes.
- Stay current with industry trends, tools, and technologies to improve efficiency and accuracy in reconciliation efforts.
Education:
- Bachelor's degree in Finance, Accounting, Business Administration, or related field.
Experience:
- Minimum of 5 years of experience in a reconciliation or financial operations role, preferably within the luxury fashion retail industry or high-end consumer goods.
- Experience working with POS systems, e-commerce platforms, and accounting software (e.g., SAP, etc.).
Skills & Competencies:
- Strong analytical and problem-solving skills with exceptional attention to detail.
- Ability to manage large volumes of data and perform reconciliations efficiently.
- Proficiency in Microsoft Excel (advanced level) and other data management tools.
- Knowledge of luxury retail sales processes, payment systems, and financial reporting.
- Excellent communication skills, with the ability to collaborate across teams and departments.
