Job Description

MCN, a leader in advertising and marketing communications in the MENA region, is seeking an individual who is adaptable and reliable with great empathy and attention to detail to join our team as our Senior Executive People & Talent.

About the Role

As a Senior Executive People & Talent, you are someone who can be a true partner to our cross-functional agency team and sister companies, supporting HR and maintaining the Oracle HRMS database.

Responsibilities

  • Lead on coordinating across departments for the onboarding of new joiners, and offboarding employees, contracts, hotels and tickets, visa applications and cancellations, IT setup, and archiving.
  • Raise Employee Requisition Request and submit for approval.
  • Prepare contracts and NDAs in line with MCN policy.
  • Create employee file and checklist and follow to completion of staff file.
  • Coordinate hotel & ticket bookings for new joiners where necessary.
  • Coordinate with the PRO team to apply for residency visas & complete the process.
  • Create new employee records on Oracle HRMS including uploading of passport, and visa details.
  • Always maintain accurate HR data on Oracle HRMS.
  • Medical insurance additions, deletions & claim submissions done weekly.
  • Creating salary letters as requested.
  • Handle all employee enquiries about leave, visa, medical and air tickets etc.
  • Arrange business and visit visas as required.
  • Keep filing up to date on a weekly basis.
  • Completion of all IT forms for SOX compliance.
  • Notify line managers and copy the relevant HR Advisors on all probation review forms.
  • Prepare contracts for Freelancers and check the passport & visa status of all freelancers.
  • Maintain a list of employees for induction each month and record it on the master sheet.
  • To proactively follow up with the PRO to ensure QID renewals/ Sponsorship transfers and Work Permit/Secondment issuance are completed on time.
  • Follow up with IT to ensure email addresses are cancelled when employees leave the Agency.
  • Update all databases when employees leave.
  • Coordinate with PROs to cancel / transfer visas and clear the Immigration list.

Required Skills/Qualities

  • Knowledge of human resources and office administration.
  • Needs to be friendly and helpful when dealing with employees.
  • Ability to plan and prioritize own workload.
  • Must be a good organizer with good communication skills.
  • Confident and able to use own initiative.
  • A good verbal and written communicator.
  • Must be flexible in terms of working hours.
  • Respect for confidentiality and ability to deal discretely with sensitive information.
  • Attention to detail and high level of accuracy.
  • Interpersonal and decision-making skills.
  • Verbal, listening, and communication skills.
  • Organizational skills & trustworthy.

Qualifications

  • Bachelor's degree or equivalent.
  • 3+ years of relevant experience.
  • Word, Excel, PowerPoint, Outlook.
  • Working knowledge of Oracle HRMS.
  • Ability to draft general correspondence with minimal guidance.
