Job Description

Job Purpose

The Admin Specialist is a pivotal member of the Manufacturing Engineering (ME) Department, overseeing all administrative aspects. They support ME with resource planning, tracking, and ensure smooth operations by maintaining documentation, tracking progress, and aiding in issue resolution related to manpower resources. Additionally, they play a crucial role in fostering communication among stakeholders through coordinating meetings and preparing insightful reports.

Roles & Responsibilities

  • Develop and maintain the Manufacturing Engineering Department's resource plan to support project execution.
  • Develop and monitor manpower workload analysis for project activities and provide support with outsourcing work to Engineering Service Providers.
  • Develop and track ME operational needs, including travel plans, rental cars, and others.
  • Develop a plan for ME resource engagement and collaboration, aligning with Ceer values: Customer Focus, One Team, Excellence, Innovation, and Integrity.
  • Organize team-building activities for all ME personnel.
  • Assist project managers in planning and executing project activities.
  • Maintain project documentation and track progress.
  • Handle internal communications for people-related subjects.
  • Track hiring status and HR Key Performance Indicators (KPIs) for all ME personnel.
  • Support with HR-related requests within the ME department.
  • Project Planning and Coordination.
  • Documentation and Reporting to ME on Weekly/Monthly bases.
  • Collaborative team support.
  • Coordinate meetings and ensure effective communication.
  • Documentation for various project & people related topics and making sure that it is properly communicated to the concerned departments in the organization.
  • Excellent MS office skills.

Job Requirements

  • Bachelor's degree in relevant field is preferred (business administration, communication, etc).
  • 4-6 years of experience in similar role.
  • Experience in project coordination.
  • Strong organizational and communication skills.
  • Proficiency in project management tools.
  • Detail-oriented and proactive problem-solver.
  • Knowledge of project management methodologies
