The International University of Science & Technology in Kuwait (IUK) is a newly established private university in Kuwait, with a new Campus located in the heart of Kuwait near the Avenues Mall. Fully accredited by the Private Universities Council (PUC), the University offers a wide range of academic programs in Engineering, Business, and Arts and Social Sciences. In addition to the academic programs, the IUK has established the University Foundation Program (UFP) that offers English and Maths foundation programs. The IUK is looking for dynamic full-time instructors who are passionate about teaching, contributing to developing a vibrant and successful learning environment with students.
Position Summary
The role serves as the official record keeper of the institution and manages the programs and systems, policies and procedures related to the institutional catalog: registration, student records and retention. Supervises all activities related to course scheduling, records retention and disposal, enrollment verifications, student database management, graduation processes, degree audit, PUC reporting, and transfer evaluations.
Responsibilities
- Provide leadership and administrative support by coordinating, implementing and evaluating the registration services functions including: Institutional calendar development and maintenance Course scheduling Student records
- Security access to the student information system
- Transfer and equivalency policies, procedures, and processes.
- Admission and Registration processes
- Collaborate with Academic Affairs and Marketing & Communications to manage the production of the University catalog.
- Coordinate class schedules with room assignments for optimum use of buildings and equipment.
- Supervise the coordination, evaluation and certification of all graduation applications, while overseeing the complete graduation process to include assisting the VPAA office with all elements of the Graduation rehearsal, ceremony and diplomas.
- Responsible for the collection, recording, maintenance and reporting of student records within standard privacy guidelines, e.g., grades, registration data, transcripts, mid-term verification, student engagement eligibility and other associated audits.
- Analyze statistical data on registration for administrative use in formulating policies; problem-solve through research, analysis and recommend resolution of student disputes relating to records and registration.
- Identify and implement back-up mechanisms for records and registration services, including registering students, issuing transcripts, answering phones, and reporting grades.
- Issue all official and unofficial transcripts, prepare all diplomas in consultation with the VPAA.
- Serve as a resource and support for departments as it relates to student records and retention, curriculum, and catalog issues.
- Collaborate with Academic Affairs, Student Affairs and IT to facilitate services to students, including the production of students ID cards.
- Train, lead and evaluate registration office staff; establish and monitor performance objectives; prepare and present employee performance reviews; provide or coordinate staff development.
- Oversee and implement the institutional Information System as it relates to student operations.
- Manage departmental budget accurately; including forecasting funds required for staffing, equipment, materials and supplies; monitor department expenditures.
- Work collaboratively with the Department of Marketing & Communications in the creation and delivery of messages related to student registration processes and records.
- Develop and maintain policy and procedure manuals related to departmental programs and services.
- Liaison with the PUC and prepare all the reports requested by the PUC.
- Other duties as assigned
Qualifications
- Bachelor's degree required; Master's degree preferred in Higher Education Administration/ Student Personnel or related field
- Professional Certificates are an asset
Experience
- Minimum ten years of experience working in Higher Education, out of which at least five years in a similar position.
- At least five years in HE strategic planning
